1. Information We Collect

1.1 Account Information

When you register as a subscriber, we collect your name, email address, password (stored as a one-way bcrypt hash), timezone, and billing information processed securely through Stripe.

1.2 Member Information

Subscribers provide details about the individuals they monitor ("Members"), including name, phone number, timezone, and a preferred daily check-in schedule. Members do not create accounts and are never required to log in.

1.3 Emergency Contact Information

Subscribers provide the names, email addresses, phone numbers, timezones, and optional quiet-hour preferences of emergency contacts who have consented to receive alerts on behalf of the Member.

1.4 Check-in & Usage Data

We log every check-in event (time, token, IP address), every notification sent (email or SMS), escalation history, and workflow actions. This data powers our audit trail and is retained for up to 365 days depending on your plan.

1.5 Technical Data

We may collect IP addresses, browser type, device type, and referring URL for security and analytics purposes. We do not sell or share this data with advertisers.

2. How We Use Your Information

  • To deliver the VoiceBen check-in and escalation notification service
  • To send transactional emails (verification, password reset, check-in prompts, alerts) via Mailtrap
  • To send SMS notifications to Members and emergency contacts via Twilio
  • To process subscription payments and manage billing via Stripe
  • To maintain security, prevent fraud, and enforce our Terms of Service
  • To generate workflow audit logs for account holders and administrators
  • To improve the reliability and performance of the platform
  • To comply with applicable legal obligations

3. SMS Messaging & Opt-Out

3.1 Types of Messages Sent

VoiceBen sends two categories of automated SMS messages via Twilio:

  • Check-in prompts — sent to monitored Members on a scheduled basis (up to 6 messages per day depending on the subscriber's plan and configured schedule). These messages contain a one-time link for the Member to confirm they are safe.
  • Safety alert notifications — sent to emergency contacts when a Member fails to complete a scheduled check-in. These are event-driven and sent only when a check-in is missed. Frequency is typically 0–3 messages per missed check-in event, depending on the escalation level configured by the subscriber.
  • Opt-in confirmation — a single confirmation SMS is sent when a phone number is first registered in the system.
3.2 Consent

By providing a mobile phone number to VoiceBen (either directly or through the subscriber who manages your monitoring), you consent to receive the automated SMS messages described above. Consent to receive SMS messages is not a condition of purchasing any VoiceBen subscription or using the service.

3.3 Opt-Out

You may opt out of SMS messages at any time by replying STOP to any message. You will receive a one-time confirmation that you have been unsubscribed. No further messages will be sent to that number. To re-subscribe, reply START.

3.5 Message & Data Rates

Standard message and data rates may apply depending on your mobile carrier and plan.

3.6 Data Sharing for SMS
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All categories of data collected in connection with SMS opt-in (including phone numbers and consent records) are used solely to deliver the VoiceBen check-in and safety alert service. This information will not be shared with any third party for their own marketing purposes.

Opting out of SMS will prevent you from receiving check-in prompts and emergency alerts via text message. Account holders can update notification preferences from the subscriber dashboard.

4. Data Sharing & Third Parties

We do not sell your personal information. We share data only with the following trusted service providers to operate the platform:

5. Data Retention

We retain your account data for as long as your account is active. Workflow audit logs are retained for up to 365 days (Gold plan), 90 days (Silver), or 30 days (Bronze). You may request deletion of your account and all associated data by contacting us at privacy@voiceben.com. Billing records may be retained longer where required by law.

6. Data Security

All data is transmitted over HTTPS/TLS. Passwords are hashed using bcrypt (cost 12) and never stored in plain text. Check-in links use signed one-time HMAC-SHA256 tokens. Database access is restricted to authenticated application connections. While we take reasonable precautions, no system is completely immune from security risks and we cannot guarantee absolute security.

7. Cookies & Tracking

VoiceBen uses session cookies to maintain your login state. We do not use third-party advertising cookies or cross-site tracking. Google Fonts are loaded from Google's CDN, which may set performance cookies. Bootstrap and icon assets are loaded from jsDelivr CDN.

8. Children's Privacy

VoiceBen is intended for use by adults aged 18 and over. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

9. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access — Request a copy of the personal data we hold about you
  • Correction — Request correction of inaccurate data
  • Deletion — Request deletion of your account and data
  • Portability — Request an export of your data in a machine-readable format
  • Opt-out of SMS — Reply STOP to any message or update preferences in your dashboard

10. International Data Transfers

VoiceBen is operated from the United States. If you access the service from outside the US, your data may be transferred to and processed in the US and other countries where our service providers operate. By using VoiceBen, you consent to this transfer.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered subscribers by email of any material changes. The updated policy will be posted on this page with a revised "Last updated" date. Continued use of VoiceBen after changes constitutes acceptance of the updated policy.
